The purpose of the meeting is to convene the HEW program grantees for knowledge sharing, networking, and idea generation.
The goals of the meeting are:
1) to strengthen collaborative relationships among the grantees of the HEW program,
2) to identify areas of shared support and resources that can be used to accelerate research and translation for this group of grantees, and
3) to conduct visioning exercises to inform future research efforts in this area of science.
The expected outcomes of the meeting are:
- stronger connections between the disparate HEW grantees
- identification of areas for future collaboration and shared support among the grantees
- a brainstormed collection of ideas for advancing research, translation, and impact in the area of health and extreme weather.

Present your research projects, initiatives, or works in progress with the HEW community.
Do you have a new dataset, tool, or other resource that may be of use to others in the HEW community? We will be having a 'fair'-like set-up where attendees can visit different tables/stations and learn about your resource.
There will be multiple times in the schedule for poster viewing. We welcome posters from anyone on your team or center, including students. Please see the bottom of this webpage for poster submission information, including deadlines, requirements, and printing information.

Interactive showcase of the submitted tools, resources, and posters, featuring UW RAPID, CAFE, Hazards Center, P20, NIH, and CHORDS. Walk around to different booths and see all of the tools available to you from the HEW program. Poster presentations from research supported by the HEW program.
11-12:15pm: Topical Breakout Workshops/Sessions
Topical Session 1a: Implementation Science: Evaluating interventions and adaptation actions through pilot programs.
Topical Session 1b: Disaster Preparedness: Research-driven approaches to emergency management and rapid response.

Meeting Location
The meeting will be held at the NIAID Campus
For those familiar with the main NIH Campus in Bethesda, please note that the NIAID Campus is located about five miles north. It is walking distance (12 minutes) from the Twinbrook Metro station on the Red Line.
Please have your REAL ID ready when you arrive. Since this meeting is being held on the NIAID campus, everyone needs their photo REAL ID to check in with security. We will give everyone's name to NIAID Security to facilitate this process. If you have a federal employee ID badge, please be sure to bring it with you as this will speed up the security process for you. Everyone will be given a badge upon getting through security. You must wear this badge at all times while on the NIAID campus, regardless if you have a federal employee ID badge or not.
The National Institutes of Health (NIH) has implemented new security protocols across all campuses, including NIAID. As part of these changes, all non-U.S. persons must complete an online screening process before being granted campus access. All non-U.S. persons will need to bring their foreign passport to enter the campus.
NIH defines a Non-U.S. Person as, “someone who does not have U.S. Citizenship or Lawful Permanent Resident (Green Card holder) status.” If you do not have U.S. Citizenship or a Green Card, you must be entered into the VisitNIH system by March 10th and must bring your foreign passport for entry. Please reach out to the CAFE team if this impacts any of your potential attendees for additional guidance before completing registration.
Screening: Expect airport-style security (metal detectors and x-rays). Please allow extra time for this process.
Parking: If you are driving, there is free parking at NIAID. Please see this guide for more information.
Breakfast, Lunch, and Coffee Breaks: The NIAID building does not have an active cafeteria, however there are vending machines and seating space for eating. You will have time to leave campus to get food. There are also several food delivery options. Catering may also be provided for some meals. More information will be provided soon.

Poster Printing, Pickup, & Set-Up Instructions
Option 1: Have your poster printed and ready at the meeting site
If you would like your poster printed in advance, delivered to the meeting venue, and set up, you must use the FedEx location listed below and pay all printing costs in advance.
The HEW team will:
- Pick up pre-ordered posters on April 14th
- Have posters set up and ready by the morning of April 15th
Please follow the specific ordering instructions below. You MUST have your poster printed at the FedEx location below to have it picked up and delivered by the HEW team. Posters printed at other FedEx locations will not be picked up or set up by the HEW team.

Option 2: Bring Your Poster Yourself
You will need to arrange to bring your poster on your own to the meeting site and set it up on April 15th between 8-8:30 AM ET.
Guidelines for All Posters:
- Presenters are fully responsible for the cost of their poster(s). You will need to pay for your poster in advance and can do so when ordering online or over the phone.
- No AV equipment is allowed for poster(s).
- Posters must be sized no more than 48”x36”.
- Poster must be single-sided.
- Posters will be hung using thumb tacks onto boards, provided by the HEW team.
- Special paper or fabric type (such as high gloss or fabric) can be expected to cost more than basic poster board.
- Any unclaimed posters will be thrown away at the end of the meeting.
Additional Poster Guidelines If You Choose Option 1
Any posters that are not paid in full at the time of pick up by on April 14th will not be delivered to the meeting venue.
- Ensure that your full name and contact information is attached to your poster printing order.
- You MUST submit your FedEx poster printing order to the FedEx location listed above by EOD on Friday, April 10th.
- When uploading your poster to the FedEx order, please ensure the file title is in the following style: [Your First and Last Name]_HEW Meeting_[HEW Program Affiliation] Ex. Jane Doe_HEW Meeting_HarvardP20
- If you need a receipt for expenses, you will need to obtain the receipt from FedEx directly.

Important Notes for All Presenters:
Do not submit a poster printing order until you have received notification from the CAFE team that your poster has been approved/accepted.

Posters will be displayed in a separate area from the resource demos. Posters cannot be placed in front of your resource demo.
